At Bengal Tech, we strive to deliver exceptional digital experiences and services. We understand that circumstances may change, and we've established this policy to ensure transparency and fairness for all parties involved.

Service Deposits & Payments

Initial Deposit

Most projects require an initial deposit (typically 30-50% of the total project value) to secure your project timeline and begin work. This deposit is non-refundable once work has commenced, as it compensates for:

  • Project planning and strategy sessions
  • Resource allocation and team assignment
  • Initial research and discovery work
  • Time blocked on our calendar

Milestone Payments

Projects are typically divided into milestones, with payments due upon completion of each milestone. Once a milestone is approved and paid for, that payment is non-refundable.

Cancellation Policy

Client-Initiated Cancellation

If you need to cancel your project:

  • Before work begins: You may cancel with a full refund, minus a 10% administrative fee.
  • After work has started: The initial deposit is non-refundable. You will be billed for any work completed up to the cancellation date at our standard hourly rate.
  • Mid-project: You will be charged for all completed milestones plus any work in progress. Any remaining balance may be refunded.

Bengal Tech-Initiated Cancellation

In rare cases, we may need to cancel or terminate a project due to:

  • Non-payment or repeated late payments
  • Scope creep beyond agreed terms
  • Unprofessional conduct or communication
  • Force majeure or circumstances beyond our control

In such cases, you will only be charged for work completed to date, and any remaining balance will be refunded.

Refund Eligibility

Refunds may be considered in the following circumstances:

  • Service not delivered: If we fail to deliver agreed-upon services within the contracted timeline (excluding delays caused by client feedback or approval cycles).
  • Technical issues: If deliverables contain significant defects that we cannot resolve within a reasonable timeframe.
  • Duplicate payment: If you accidentally made duplicate payments.

Non-Refundable Items

The following are not eligible for refunds:

  • Completed work or approved deliverables, even if you choose not to use them
  • Third-party expenses (domain names, hosting, licenses, stock assets, etc.)
  • Custom design or development work that has been delivered and approved
  • Monthly retainer services (must be cancelled with 30 days notice)
  • Rush or expedited service fees

Retainer Services

For ongoing retainer or subscription services:

  • Monthly retainers require 30 days written notice to cancel
  • Unused hours do not roll over to the next month
  • Partial month refunds are not available; service continues until the end of the current billing period
  • Annual retainers may be prorated if cancelled mid-term, minus completed work and a 20% early termination fee

Refund Process

To request a refund:

  1. Contact us at info@bengaltechbd.com with your refund request and reason
  2. Include your project details, invoice number, and payment information
  3. We will review your request within 5-7 business days
  4. If approved, refunds will be processed within 14 business days to the original payment method

Dispute Resolution

If you're dissatisfied with our services or have a dispute regarding refunds, we encourage you to:

  1. Contact us directly to discuss the issue
  2. Schedule a call with our project manager or director to resolve the matter
  3. If unresolved, we can agree to mediation or arbitration as outlined in our Terms of Service

Changes to This Policy

We reserve the right to modify this Refund & Cancellation Policy at any time. Changes will be posted on this page with an updated revision date. Your continued use of our services after changes are posted constitutes acceptance of the updated policy.
